Communication in an organization is an efficient tool that can be utilized between employers and employees to ensure that all activities align with the standard policies and guidelines. In this process, communication as a model is essential because organizations use it to create awareness. Through communication, organizational stakeholders can become aware of the various safety measures. Most importantly, top-down and bottom-up communication types must help leaders and employees to share ideas, concepts, and policies, that are fundamental in the process of facilitating a straightforward operation of activities. Moreover, it is through the process of sharing information using active communication channel and procedures, that helps an organization to advance and create awareness for safety (De Vries et al., 2017). In this study, a training program design aimed at improving communication and safety awareness at the XYZ medical healthcare will be evaluated using a Training Need Analysis (TNA), and other useful tools. XYZ attends hundreds of patients daily and uses various information systems (IS) to store medical records and personal health data, which are utilized at different stages during the treatment process. Communication and safety awareness at XYZ ensure that the quality of patient health outcomes is enhanced, by promoting the communication process, and improving patient safety and privacy.

The Importance of the Training Program

Training for effective communication and safety awareness in an organization is crucial because it allows organizational stakeholders to understand the culture, ideologies, and policies for enhancing success and achievement of the stated goals and objectives. Conventionally, studies done by De Vries et al. (2017) postulated that about 345 workers in the United States of America typically experienced bullying, harassment, and ignorance amongst fellow workers, for reasons that they reported to be poor communication strategies set forth by the organization. Therefore, designing this particular training program helps to avoid an arouse of imminent challenges at XYZ that take place as a result of miscommunication that eventually causes misunderstanding. In other words, this training program is meant to avoid conflict occurrence, for exponentially avoidable reasons.

Ideally, training workers on how to communicate and respond to their peers in times of disagreements and misunderstanding helps to create a peaceful organizational culture where there is no conflict. As it is best known for most institutions, conflict is a vital problem that faces most corporations, and the associated consequences are often extremely detrimental. Creating a coherent understanding of work policies ensures that everybody at XYZ is ultimately aware of the safety precautions and measure of solving problems. Considerably, the training program will also help in shaping two vital managerial issues in organizations: decision-making and problem-solving techniques. It is indisputable that bolstering the processes of decision-making and problem-solving techniques helps in ensuring that an organization operates within its standards of conduct and ethical guidelines. Therefore, use of proper communication channels promises an environment at XYZ, where advanced and ethical decisions are applied by managers and workers to make appropriate decisions, that limits medical errors but promotes productivity and efficiency of privacy and treatment processes.

What Trainees Should Know or Do Before the Training

Before the actual training process at the XYZ medical health center, the trainees or instead workers should highlight the most notable challenges, and policies or procedures they need more coaching in. The opportunity allows trainees to develop individual needs, requirements and expectations that they would demand during the training program. Furthermore, the topic or goal of the training program should be communicated in prior for the trainees, to enable them with ample time of evaluating the organization and exhausting their list of needs. For instance, the goal of this training assessment is to facilitate communication and safety awareness.

So, trainees will have to list the potential challenges that they often encounter as a result of poor and good communication scenarios, when handling patients, or other vital health activities. The trainees will also have to understand the background need for safety when they encountered safety drawbacks, the issues that led to such incidences, and the extreme consequences that the problems resulted in. In a nutshell, trainees should be ultimately knowledgeable of the goal or mission for the training program, so that they may stay active, motivated, and further appreciate the need for initiating such a program.

Various opportunities can still be established after the training program to ensure that the lessons learned become useful and applicable among trainees. Perhaps, trainees must efficiently understand how to implement the ideas, skills, and concepts gained during the training development program. Studies completed by Moore and Dutton (1978) affirmed that any training procedure would be deemed as useless and helpless if the learners are not in a position to apply these knowledge or training lessons. The trainees should also fill up survey questionnaire forms after the training to ensure that all the objectives have been met. Similarly, XYZ medical organization must ensure that the training procedure includes advanced practical lessons, which equips trainees with the ability to improve on their communication and safety awareness skills. In a broad view, trainees should know how to apply the lessons grabbed from the training program.

Moreover, trainees should gather in social groups to improve social learning amongst themselves. Being in social groups allows trainees to interchange skills and knowledge gained between themselves. Naturally, learners would require mentors, and buddies to build their knowledge, because people have different levels of understanding, and sharing ideas, will help all the trainees at XYZ medical center to be at par, in terms of their knowledge concerning communication and safety awareness. The social learning groups should be meant for discussions so that all the skills and training lessons are centralized within the organization.

The issue of improving communication and safety awareness at the XYZ medical center is a universal issue that has created severe social problems, medical errors, and patient dissatisfactions every time. At the start of the discussion, and overall summary highlighting the benefits of having a highly functioning communication model and safety awareness program was outlined. After that, the research studies some of the essential needs of offering this training program, including long-term strategic impacts that it would pose on the effectiveness of XYZ organization. In convention, the research highlighted that facilitating communication and safety awareness will enable health workers of XYZ, to minimize possible occasions of medical errors and most importantly, improve the patient health outcome at the long term. Besides, offering this particular program allows trainees within the organization to take note of the most convenient communication skills with peers, leaders, and patients, in a manner that reduces an arise of conflict and misunderstanding. This will leverage the standards of decision-making and problem-solving mechanism. Nonetheless, the research has also done a training need analysis, which effectively highlights what trainees should know or do before and after the training program, to ascertain that the goals of this program are met, and the strategic goals met more straightforwardly.

Specific Training Objectives

In this study, three elements namely: applying, understanding, and remembering aspects of the bloom's taxonomy will be utilized to help in designing three specific objectives that facilitated the initiation of this training program on communication and safety awareness at XYZ medical center (Sosniak, 1994).

To enable trainees to apply the new concepts, ideas, and skills in addressing their pre-stated before the training program. This will potentially eliminate cases of miscommunication while handling patients, or during peer-peer communication.

To help trainees understand the training program lessons more actively, by engaging them in social learning groups so that they can exchange ideas.

Trainees or learners should be able to remember the lessons learned by engaging in discussion groups after the training program. Through this, they can remember what effective communication tools are, and also apply the safety measures taught at a pilot stage before implementing the same for the entire XYZ health organization.

Impacts of Distance Learning Module on Trainee’s Learning Experience

Ideally, the world has gone through a massive transformation in terms of technological advancements in the previous decades and century. Shifting towards distance learning with the help of communication devices can be useful in ensuring flexibility or lesson practice on learners. Similarly, this training method would be helpful in the case of XYZ medical organization, because what learners or trainees require is the access to lesson programs, and ability to interact with peers at the end of the training, to share experiences, and knowledge concerning the thoughts, new skills learnt. Distance learning through the help of mobile phones, laptops, computers and other relevant communication tools, can allow trainees to meet virtually, and form discussion groups in the online platforms, hence have the same positive impact as a face-face learning method. Therefore, offering distance learning for trainees would promote their learning experience, because the platforms make them confident to pose questions, that others might feel embarrassed to ask, during the physical interaction.
